Share Files in Filelocker

Overview:

In order to share a file with others, you must first have it in your Filelocker account. Files can be added to your account by uploading them, or by someone else sharing a file with you. It is important to keep in mind that files remain on the system for a maximum of seven days from the time they are uploaded. Regardless of when a file is shared, it will only be available for download until its original expiration date passes.

There are several options for sharing:

Share with users:

The Share with Users function allows Filelocker users to share files in their accounts with others at WVU. Follow these instructions to share files with other people at WVU.

  1. Log into Filelocker at filelocker.wvu.edu.

  2. Upload the file you wish to share if you have not already done so.

  3. Locate the file in the Uploaded Files are of the My Files page, and then either click the file name itself or the blue downward-facing triangle on the far right of the file.

    Note: If the file you wish to share is one that has been shared with you by someone else, follow the Take Ownership (to Reshare) directions below first.
  4. The file name highlights and a blue drop-down menu appears. Click the Share This File button.

    Note: Select the Notify Me on Download option to receive notification when recipient downloads the file.
  5. You will next be prompted to specify a user with whom to share the file. There are a number of ways to do this.

  6. Click to select the Name option in the Share with Users section.

  7. Type the person's first and last names (as they would appear in WVU records) in the search space.

    Note: If "Too many results" initially appears while you type, continue typing and this should go away.
  8. Click to select the Search the entire West Virginia University directory option.

    Note: This option is not needed if the person you wish to select is already shown in a list below where you are typing.
  9. Click to select the person's name from the resulting list.

  10. Click the Share button to complete the process of sharing this file with the selected individual.

  11. By default the system will notify them via email, but this option can be deselected if not desired. If you wish to share this file with additional users, repeat steps 3 - 9 to add them. If you want to regularly share files with the same group of individuals, follow the instructions for the Share with Groups option below.

Public share:

Public sharing is used to share files with anyone you choose, whether they are inside or outside of the university. This process creates a unique, temporary web address that the system can email to recipients, or you can provide to them in other ways. When using password protection, which is recommended, provide recipients with the password directly.

Follow these instructions to share files with anyone at any email address.

  1. Log into Filelocker at filelocker.wvu.edu.

  2. Upload the file you wish to share if you have not already done so.

  3. Locate the file in the Uploaded Files area of the My Files page, and then either click the file name itself or the blue downward-facing triangle to the far right of the file.

  4. The file will be highlighted and a blue drop-down menu will appear. Click to select the Public Share option.

  5. The "Share a File Publicly" window is now displayed. Select any desired options, fill in needed information, and then click the Share button.

    Warning: When sharing with more than one individual, it is imperative that the Allow multiple downloads option be selected.
    • Password protect: Strongly recommended. When selected, spaces appear for entering a password.

    • Allow multiple downloads: Required if more than one recipient

    • Email addresses: If more than one, insert commas between them and select option C

    • Expiration date: Defaults to maximum

      Note: If an incorrect email address has been specified, you will not be notified.

  6. The View Public URL window will now display to signal completion of this process. Any email addresses specified will receive notification of the file being available. If it is password protected, you will need to provide the password for recipients to access it. You can also copy and paste this URL to provide it to others. The options selected during the initial sharing process will still govern how many times it may be accessed and whether a password is required.

Share with groups:

In order to share a file with a group, you need to have created a group and added members to it. Once you have done so, follow these directions to share a file with your group.

  1. Log into Filelocker at filelocker.wvu.edu.

  2. Upload the file you wish to share if you have not already done so.

  3. Locate the file in the Uploaded Files area of the My Files page, and then either click the file name itself or the blue downward-facing triangle to the far right of the file.

  4. The file highlights and a blue drop-down menu appears. Click the Share This File button.

    Note: Select the Notify Me on Download option to receive notification when recipient downloads the file.
  5. Select the Share with Groups option, and then click the Share link next to the group with whom you wish to share the file.

  6. Click the X in the upper-right corner to return to the My Files screen.

Take ownership (to reshare):

When a file has been shared with you that you wish to share with others, use the Take Ownership (to Reshare) option. Follow these instructions to grant others access to files shared with you.

  1. Log into Filelocker at filelocker.wvu.edu.

  2. Locate a file in the "Files Shared with You" section that you wish to share with others, and then either click the file name itself or the blue downward-facing triangle to the far right of the file.

  3. The file highlights and a blue drop-down menu appears. Click the Take Ownership (to Reshare) link.

  4. This file now also appears in your Uploaded Files area, and it can be shared with others.
